EVENT RULES AND TERMS & CONDITIONS

GOVERNING RULES

All WDHC events are run under British Riding Club (BRC) and British Horse Society (BHS) rules and guidelines.

ACCEPTANCE OF TERMS

By attending a WDHC event as a spectator or participant, you unconditionally accept and agree to follow all terms and conditions and general event rules on the showground and in the arena, entirely at your own risk.


SAFETY AND SUPERVISION

You are responsible for:

  • Ensuring horses and children are under your strict supervision at all times
  • Dogs are welcome but must be kept on a short lead at all times and be clearly marked with an identification tag displaying a contact number.
  • Ensuring children DO NOT climb or play on any farm machinery or equipment
  • Ensuring children DO NOT enter any areas of farmland
  • Walking horses at all times, except in designated practice or warm-up areas

You agree to:

  • Immediately follow instructions from any official, judge, or club steward
  • Comply with all safety requirements at the venue

CLUB DISCRETION

WDHC reserves the right, at our discretion and without liability for any costs incurred or giving a reason, to:

A) Adjust the schedule at short notice
B) Refuse an entry
C) Request you to immediately leave an event

Grounds for removal include, but are not limited to:

  • Use of foul, argumentative, or abusive language
  • Inappropriate actions to school or punish a horse (in the ring or on the showground)
  • Being a danger to yourself, others, animals, or property

No refunds will be given in these circumstances.


Passports and Vaccinations

If travelling by trailer/lorry, competitors are reminded that it is a legal requirement that horses and ponies are travelled with their correct passports – these should be available for inspection by the organisers at any time.

Vaccinations against Equine Influenza: Club events are run under BRC/BHS Rules, every horse must be vaccinated in accordance with the current rules from the BRC Handbook. A check of vaccination records may be made at the venue if deemed necessary/appropriate by the event organisers/committee.


LIABILITY

The BRC/event organisers do not accept any liability for any accidents, loss, damage, injury or illness to horses, owners, riders, spectators, land or any other person or property whatsoever.
Please note: Non-members are not covered by the BRC insurance policy. It is mandatory for anyone attending this event to have third party liability insurance at a minimum. Therefore, any non-members attending must bring proof of their own third party liability insurance when they declare / make an entry.


REFUNDS

Entry fees will only be refunded with proof of a doctor’s or veterinary certificate.
Any refunds will be subject to an admin fee of £2.50 per entry.


ENVIRONMENTAL RESPONSIBILITY

  • Horseboxes and trailers MUST NOT be mucked out on the showground
  • All litter and waste (horse and dog) must be taken away with you
  • Please respect the venue and leave it as you found it

SAFETY EQUIPMENT

Riding Hats:

  • It is the rider’s responsibility to make sure they comply with the current BRC hat rules.
  • Current standards can be found on the BRC and BHS websites
  • A hat to the correct standard must be worn at all times by anyone, whether a competitor or not, riding anywhere at this event.
  • It is strongly advised to wear a hat when handling a horse from the ground

Body Protectors:

  • If worn, body protectors must comply with current standards
  • Current standards can be found on the BRC and BHS websites

Tack and Clothing:

  • Correct tack and clothing under BHS/BRC rules must be worn at all times when mounted in warm-up areas and arenas
  • It is the rider’s responsibility to make sure they comply with the current BRC body protector rules.
  • A body protector to the correct standard is mandatory for all riders going XC at this event.

WARM-UP AREA ACCESS

No person is allowed to enter the warm-up area mounted without:

  • Wearing appropriate safety equipment (as above)
  • Having entered and paid for the event
  • Agreeing to all rules and terms & conditions

AGREEMENT TO TERMS

By paying your entry fee, you are agreeing to all the above terms and conditions, whether or not you have signed the entry form.

You agree to our complaints procedure, and that you have understood our safeguarding policy.


SOLO COMPETITORS

We understand that not all competitors travel to events with teams or other supporters. It can therefore be useful to ask for the details of a contact that can be contacted in case of an emergency. Ideally this should be someone who will be at the event or is not too far away.
Please ensure emergency contact details are up to date on Equo when entering
It is helpful to the event organisers if you are travelling on your own to declare this to the secretary / organiser and leave emergency contact details.
If an incident occurs it is really useful to the event organisers to know that you are competing alone as it will help us to make alternative, appropriate plans.


ROSETTES

Rosettes are awarded to 1st–6th place in all classes. Any additional rosettes are given at the discretion of WDHC.
